Instant Appointments…

Here’s a strategy is incredibly simple and doesn’t take much explaining. I wrote about this in one of the BodyworkBiz Marketing Tips newsletters years ago, but I get so many people telling me how well this works that I think it deserves revisiting.

Here are the kinds of emails I get:

“I just did this today and within 2 minutes had taken appointments for two available slots!”

Or this one that came in from the UK:

“Within a half hour I had two appointments taken, first from a guy I did a chair massage for on a promotional day at his work place and the second from one of my very regular (twice a month) clients. So best of both worlds…one new client, and an increase in ‘spends’ from an existing client! I am very, very happy about this tip. Thank you sooooo much!”

Many therapists dismiss this strategy as being too simple. But some of the simplest tactics are often the most effective.

What did they do to get these instant appointments?

They used email.

They simply sent an email to a number of clients letting them know what openings they had available in the following week.

The first therapist who got two appointments within two minutes sent out this note:

“Feeling Stressed? Computer work got your neck in a kink? The week of October 6 – October 11 I have these appointment times open: Thursday Oct. 9 11:30 am, 12 pm, 12:30 pm, 1 pm, 1:30 pm, 2 pm, 2:30 pm and 3:00 pm Friday Oct. 10 11:30 am, 12:00 pm, 1 pm, 2 pm and 2:30 pm and 7 pm
I WILL GIVE $10 OFF TO THE FIRST 5 PEOPLE WHO RESPOND TO THIS EMAIL WITH AN APPOINTMENT TIME. I’m waiting for you…just make that call!”

The woman from the UK sent out a similar email with a comparable incentive. She didn’t need to send it out to 1,000 clients to get those appointments. She only sent it out to the 15 clients for whom she had email addresses!

Give away massage? You’ve got to be joking!

I’ve just finished reading a series of posts at indeed.com and the Massage and Bodywork Professionals forum on giving away free massage.

The topic always generates strong feelings. Some swear they would never give away massage even if their life depended on it. It diminishes their credibility, devalues their worth, and would only attract the freebie seekers.
Others have tried it and simply say it sucks; it’s never worth their time.

I love the idea of giving away free massage, BUT… it has to be done the right way:Your approach to giving away massage has to create a high-perceived value for your services and to get those people to want to rebook with you regularly.

Chair Massage at Banks

I wrote/edited about 100 pages yesterday for a Chair Massage textbook I’m working on. It should be the definitive guide. In the process, I came across a lot of practitioner stories in the archives. If you want to tell me about your chair massage business feel free to post a reply below.

Here’s one from a woman who was working fulltime at another job at the time and who was looking to transition into a chair massage career:

“I have been doing chair massage part time, as I’m still working full time for another two years or so. To date, I have been working mostly in banks, and that is going extremely well. Many have evening hours and are open Saturdays, which minimizes the amount of time I have to take off work.

They have all paid for the employees’ massages. It’s a non-issue. All the massages at the banks have been 15 minutes/$15. Usually I meet with the branch manager or manager of financial services/customer service.

When I’m finished at each location, I ask for one or two contact names for other branches. I follow up with those, saying so and so gave me your name, and essentially I’m in.

Most banks have “greeters”. They have proven to be the best people to do the reminder calls the day I’m there. That keeps everything on track. I offer the option of music with the massage, which 98% want. I designed and used a brief evaluation form last year. I now have the feedback I was looking for, so am no longer using it, at least not as long as I’m in the banks. I always left copies of the evaluations with my contact.

Regarding benefits, we always say offering massage makes the employer look good, shows that they appreciate their staff, etc. I can’t tell you how many times people said this, in some way or other, either on the evaluation or directly to me. I make sure to use that as a key “selling point”, in addition to the fact that people feel more relaxed, energized etc.

There’s no question that having a target market, as you always advise, has definite benefits. It makes it so much easier to go from one location to another and your credibility builds up quickly. To date I have not attempted to organize regular, repeat visits to each branch. For me, part of the fun/challenge is the promotion/marketing (I know that’s quite the opposite of many), so I really enjoy making new contacts and going to different locations. I recently called all the branches I went to a year ago, and there will be a few repeats this winter.

This is funny! As I’m writing to you, one just called. We’re all set up for post RRSP season, St. Patrick’s Day and the first day of spring. Last year she had me in on Valentines Day, provided lunch for everyone and decorated the place all in red, hearts, etc., so I know she likes “theme” dates.

The only promotional pieces I use are my business card, your list of companies that have had on-site massage (I’d love your most recent copy, if one exists) and benefits of chair massage (from binder). I also leave them a sample memo put together by one branch and a sign up form. They appreciate these resources. It’s one less thing they have to think about preparing. I am putting together a one-page descriptor, but for my needs to date, the above has been sufficient. In addition, I have given friends massages for birthdays, special occasions, etc.”

Listen To Your Clients’ Needs

Here’s another tip from one of the Massage Marketing Tips subscribers…

One of the biggest “turn-offs” I’ve found is the practitioner not listening to my responses during the intake interview.

New to the business, I’ve been trying a variety of practitioners over the past few months – checking out different styles, as well as for my own body’s benefit – and I’m surprised that about 50% of the time I don’t have my clearly stated desires addressed. I’d never rebook an appointment with them.

What I take away from this, and have had reflected back to me from my clients, is that if the practitioner truly listens to what the client is saying (both verbally and non-verbally) and takes that into consideration for the session, the chances of retaining that client over time dramatically increases.

This may seem like a “no-brainer”, but like I said I was amazed at how often my requests were not even heeded. Take the time to listen to your client. It will be well worth it for both of you.

Be A Model To Your Clients

Do you know of parents who operate on a “Do as I say, not as I do” mode with their kids. It doesn’t work, does it? If you want to get the kids to behave or act in a certain way, then you know that you have to be a model for them.

Great leaders know the importance of this principle as well. Great leaders don’t preach to those around them. Rather they inspire people with their own actions. They live their ideals.

Similarly, if you want to motivate your clients to take care of themselves proactively and have respect for your recommendations, then you must be a model for them. You have to live your life in a way that embodies your belief in the powerful benefits of regular massage.

If you are asking your clients to take care of themselves by using massage regularly, then you must do so yourself. Otherwise you completely lose credibility and respect in your customers’ eyes.

The last few lessons of the Fill Your Practice program have been invaluable! The one phrase that really got my attention in one of the rebooking lessons was “Shall we book your next appointment now?” Interesting…

I used to ask my clients to rebook and for whatever reason I stopped doing it as often.

The past few days I have been doing so and…

…so far I am 100%.

As a preamble I have told each client that I have been guilty as well of not receiving regular treatment. (Which is true. Guilty as charged!) I also told them that I had made an agreement with a colleague that I must book a massage once a month and rebook before leaving the office.

And if I have to “change” the appointment date for whatever reason, that is okay, but I am not allowed to cancel and not rebook.

So I have posed the same challenge to my clients and they have full permission to check up on me as well to keep me honest.

Be Sure Their Needs Are Met

Here’s another tip from one of the Massage Marketing Tips subscribers…

A great idea came my way from a friend of mine who is a great massage therapist. About 5 minutes before the session is to end she asks whether there was anything that she had missed or that she needed to focus on for the last few minutes of the session.

Try it and see! People are often hesitant to speak up even when their needs are not met. This gives them permission to mention something that you had missed, didn’t spend enough time on or something that they had not requested earlier in the session!

Birthday Gift Certificates

Here’s another tip from one of the Massage Marketing Tips subscribers…

When a new client comes for the first session, I have them complete a health in-take form. On that form is place where the client records his/her birth date. I keep a notebook organized chronologically according to clients’ birthdays. When a new client comes to me, I record his/her birthday.

I then mail out a birthday card close to their birthday. In that birthday card is a gift certificate for a free 30-minute massage session, which can be upgraded if the client so chooses. I include a note in the certificate that explains that they can use the gift certificate themselves, or they can pass it on to someone they care to reward or pamper.

When a client calls to redeem the 30-minute gift certificate I ask them if they would like to upgrade the session for a 45-minute session or a full hour session. Upgrading from 30 minutes to 45 minutes is a $10.00 charge and upgrading to a full hour is a $20 charge.

Out of the new clients that get the birthday gift certificate, approximately 30 to 40% return to me to redeem it. About 75 to 80% who return choose to upgrade their certificate, and in most cases the choice is to upgrade to a full hour session. Once a client becomes an established client I send a $10 discount coupon to them with their birthday and also a $10 discount coupon with a Christmas card during the holiday season.

I have found that these gift certificates help to either bring in new clients and keep clients returning for massage therapy. It’s a simple thing to do, but it does work!!

Bookmarks: The Better Business Cards?

Here’s another tip from one of the Massage Marketing Tips subscribers…

Of course I have the usual business card. But I also have an expanded business card of sorts, which also doubles as a bookmark. Actually, I have 4 of them, which cut out nicely from a standard 8.5×11 sheet of paper.

On these, I show photos featuring different aspects of massage: De-stressing, Pain Relieving, Revitalizing and one for Thai Massage. I offer a few sentences about each, along with a book recommendation. Also, there’s contact information and a small headshot of myself.

I’ve placed these at local bookstores, the New Age bookstore, health food stores, etc. So, prospective new clients get more than the usual business card. The bookmarks have the potential for keeping my name and the idea of massage therapy a little more visible to them than a card would.

I also use the bookmarks as envelope stuffers when mailing things to clients, and enclose them in gift certificate packages, especially if the recipient is new to massage. Lately, I mostly have used them as a little giveaway reminder for my clients. They appreciate it and can make use of the bookmarks. A client or two have even copied the idea for their own businesses.

I got four phone calls as a direct result of the bookmarks, and those people all picked up the bookmarks at the same location. So I got some valuable information about the location of potential clients.

Interestingly, all four people wanted to book Thai massage sessions; I mean, they were ready to book immediately! No one called referring to the pain relief, relaxation or sports massages mentioned on the other three bookmarks. So I got some valuable feedback on what people wanted and that feedback surprised me!
